Campus Intuition Privacy Policy

Campus Intuition Pty Ltd ("we", "our" or "us") respect the privacy of our clients, whether that be website visitors, students, universities, or others we interact with. This privacy policy describes how we, as a “controller”, collect and use personal data about you as students and other individuals involved with universities through the day-to-day interactions we have with you, the personal data collected and used as a result of surveys undertaken, and how it is processed (the “Services”), and your rights in relation to this data.
1. PERSONAL DATA WE COLLECT
“Personal data” means information (or a combination of information) that can reasonably allow you to be identified.
Personal data we collect from you
The personal data we collect includes the following categories:
- personal details (e.g. name, gender)
- contact details (e.g. phone number, email address)
- communications (e.g. your questions, comments, survey submissions)
- online identifiers (e.g. IP addresses and cookie identifiers)
- any other personal data you volunteer to us when completing a survey which may lead to identifying you such as:
- your opinions
- experiences
- demographic details including stage of study, title of degree, school/faculty, international or home (domestic) student status, undergraduate or post-graduate enrolment, your campus or student accommodation block/residence
- data that relates to your university campus experience and which would enable us to identify you
- photographic images
- bank details when remuneration to you is required for your participation as part of our service to a university
Whilst we do not anticipate processing special category data, you acknowledge that by disclosing your data voluntarily as part of any surveys completed (or otherwise), should this personal data contain information relating to disability, religion, ethnicity, sexual orientation or other “special category” or sensitive data, this will also be processed by us.
We collect and use your personal data when you:
- register with us as part of the on-boarding process in anticipation of completing po-tential experience mapping relating to your experience at university (or otherwise)
- complete a survey provided through a link we or your university has circulated
- liaise with us via WhatsApp, SMS or any other application or platform (including Es-sendex and Survey Monkey) or otherwise engage with us
- email us with any questions or information you may have
- register for our newsletter or download selected reports on our website
If you choose not to provide certain key information, this may mean that we are not able to provide you with all of our Services. For example, if you do not provide your name, email address or phone number where we are running prize draws, we will not be able to enter you into any applicable prize draws.
Personal data we collect from other sources
We may also receive information about you from other sources, including:
• your university, to the extent necessary in order to carry out the Services
• social media platforms including when you interact with us on those platforms or access our content. The information we may receive is governed by privacy policies and processes of the applicable social media platform, which we recommend you review and consider
• other students
Cookies and similar tools
We use browser cookies and similar technologies to collect and store certain information when you access or interact with our [website/platforms]. A cookie is a small text file which is sent by a website, accepted by a web browser and then placed on your hard drive. The information collected from cookies lets us know that you visited our website in the past, and helps you avoid having to re-enter information during your visit or on subsequent vis-its.
2. HOW WE USE YOUR PERSONAL DATA AND THE LEGAL BASIS FOR THIS
We may use your personal data for the purposes set out in the table below. We have also set out our “legal basis” for each of these uses.
We may also anonymise your personal data in such a way that you may not reasonably be re-identified by us or any other company, and may use this anonymised information for any other purpose.
Use – Identification and authentication
Purpose: We use your identification information to verify your identity when you access and use our Services and to ensure the security of your personal data.
Legal basis for use: This is so we can comply with our contractual obligations.
Use – Providing the Services
Purpose:We process your personal data to provide the Services that you or your university have requested. This includes using the data and running analysis (both personal data and general information), opinions, experiences and photos that you have provided via various platforms in order to report on university campus experience to our clients.
We will only use your data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another related reason and that reason is compatible with the original purpose. If we need to use your data for an unrelated purpose, we will first seek your consent.
Legal basis for use: This is so we can comply with our contractual obligations. To the extent that special category data has been disclosed, we will seek to rely on explicit consent or where it has otherwise been made public by you.
Use – Improving our Services
Purpose: We analyse information about how you use our Services to provide an improved experience for our customers of all our Services, including survey questions and testing, functionality of platforms and the ways in which we can engage with you in the most efficient manners.
Legal basis for use: It is in our legitimate business interests to use the information provided to us for this purpose, so we can understand any issues with our Services and improve them.
Use – Communicating with you
Purpose: We may use your personal data when we communicate with you, for example if we are providing information about changes to our privacy policy, how we process survey data, or if you contact us with questions, information or photos.
Legal basis for use: It is in our legitimate interests to provide you with appropriate updates and responses about our Services.
Use – Marketing
Purpose:We may use your personal data to build a profile about you and place you into particular marketing segments in order to understand your preferences better and to appropriately personalise the marketing messages we send to you.
We may also use the information you have submitted externally to market at other universities, to use at conferences, events, in reports, blogs and other online and print material. Your data will be anonymized at all times.
Legal basis for use: It is in our legitimate interests to provide more relevant and interesting advertising messages. Where necessary, we will obtain your consent before sending such marketing messages.
It is in our legitimate interests to use our learnings the information submitted for the purpose of outreach and advertising.
Use – Customising your experience
Purpose: When you use the Services, we may use your personal data to improve your experience of the Services, such as by providing interactive or personalised elements on the Services and providing you with content based on your interests.
Legal basis for use: It is in our legitimate interests to provide a more relevant and customised user experience.
Use – Complying with our obligations
Purpose: We may process your personal data to comply with legal or regulatory requirements including for safeguarding, data protection or other purposes as may be necessary.
Legal basis for use: This is so we can comply with our legal obligations.
3. HOW AND WHEN WE MAY SHARE YOUR PERSONAL DATA
We may share your personal data with the following categories of third parties in the follow-ing circumstances:
Group companies:
Campus Intuition Pty Ltd work closely with other businesses and companies within our group (such as Campus Intuition Limited). We may share certain information relating to the data that you have shared with us via surveys or as otherwise provided from you to us with such group companies for the purposes set out above. This is so that we can fulfil our ob-ligations under contract and ensure we deliver the Services, or where we have a legitimate interest or consent to share such data.
Service providers and business partners:
We may share your personal data with our service providers and business partners that provide business services for us for the purposes set out above. For example, we may partner with companies to host our data, process secure payments, optimise services, pro-vide surveys, store data, send marketing messages, support email and messaging ser-vices, and analyse information. These service providers and business partners may include the universities who have engaged us for the Services, communication platforms and data storage platforms and servers which will use your personal data only in the ways described in this policy.
Where required by law:
We may share your personal data with law enforcement agencies, regulators, courts, other government authorities or other third parties where we believe necessary to comply with a legal or regulatory obligation, or otherwise to protect our rights or the rights of any third par-ty.
In the context of a transaction:
We may share your personal data with potential transaction partners, service providers, advisors, and other third parties in connection with the consideration, negotiation, or com-pletion of a corporate transaction in which we are acquired by or merged with another company or we sell or transfer all or a portion of our assets or business.
Our website may contain links to third-party sites. We do not control these third-party sites and are not responsible for the personal data you may provide them or how they may use it.
4. INTERNATIONAL DATA TRANSFER
Your personal data may be transferred to, stored, and processed in a country that is not regarded as providing the same level of protection for personal data as the laws of your home country. These include, by way of example, Australia.
Where we have transferred your data to such countries, we have put in place appropriate safeguards (such as contractual commitments) in accordance with applicable legal re-quirements to provide adequate protections for your personal data. 5. PROFILING
We may profile you based on your personal data to help us understand how students use and perceive campus facilities, such as:
- Grouping student groups together to understand preferences and behaviours (for example campus feedback from specific demographic groups such as undergradu-ate international students)
- Grouping feedback into categories to understand drivers (such as what types of demographic groups rate certain aspects of their campus experience poorly)
Subject to local legal requirements and limitations, you can contact us to object to our use of automated decision-making. If we use automated means to process personal data which produces legal effects or significantly affects you, we will implement suitable measures to safeguard your rights and freedoms, including the right to obtain human inter-vention.
6. INFORMATION SECURITY AND STORAGE
We implement security measures designed to safeguard and maintain the integrity and confidentiality of your personal data. We evaluate and update these measures on a regu-lar basis. However, no information system can be completely secure, so we cannot guarantee the absolute security of your personal data.
We keep your personal data for as long as we have a relationship with you and for the du-ration in which we are providing the Services. When deciding how long to keep your per-sonal data after our relationship with you has ended, we take into account our legal obligations. We may also retain records to investigate or defend against potential legal claims.
